Aim:

The Shire of Gingin wanted to introduce a system which would improve report generation and automate system management reporting.

Solution:

IT Vision’s CPM solution

Impact:

Time saved on producing reports; having the most up to date information at the click of a button. Now able to spot trends, and seamlessly connect to data.

With a key priority to provide concise management reports and automate system management reporting, the Shire of Gingin wanted to implement a data analytics and reporting tool with the aim of saving time and resources. The team at Gingin was spending a considerable amount of time extracting data to produce reports and wanted something that could be produced from an automated system for monthly financial reporting.

The solution presented itself in the form of CPM; its integration with SynergySoft, easy to read and produce reports, dashboard solution and ease of use meant that CPM, for the shire, was the clear choice (after seeing a product demo at the Local Government Finance Professionals Conference). Kaye said the way that the reports are collated has clear benefits for both finance and non-financial professionals.

CPM from IT Vision has enabled the shire to make better use of information, including picking up errors that occurred from the use of Excel spreadsheets.

Executive Manager of Corporate Service, Kaye Lowes, said that although they looked at other products, a key factor was the integration with SynergySoft; they didn’t want to be running any manual processes.

‘One of the key benefits for us is that we have access to management reports daily and we can send these out to individual officers on a monthly basis; we have anytime access’, said Kaye.

Kaye and her team have worked extensively with IT Vision to customise CPM so that they have a reporting suite tailored to the shire’s needs. A finance report has been created in line with Moore Stephens monthly report template and is available to staff on a daily basis.

Kaye said: ‘The flexibility of the system has been great; to be able to add new tables (to be able to produce reports) and to be able to report by department for sick leave allows us to spot trends and gives us the visibility to go back a number of years, which is really beneficial.’

The Shire has seen many benefits since the implementation of CPM; where they had previously had to manually prepare financial summaries, this is now automated and has saved hours each month. Kaye is now able to produce monthly reports, purchase order updates, and management reporting without having to go to SynergySoft to verify. They can monitor sick leave as well as income and expenditure on caravan parks and waste management. This tool is growing from a finance/management tool into the workforce planning space and we are able to create reports for that.

The uniqueness of IT Vision’s CPM, according to Kaye, is ‘the ease of use and seamless connection to data’.

‘CPM has highlighted where some data was missing has removed the room for human error. This solution has revolutionised the way that we are able to produce, report and deliver reports; saving time and money. I would absolutely recommend this product!’

The Shire of Gingin is located 84km north of Perth, and has a population of 5308.

As I sit at my first cubicle, I wonder how I ended up here. Tis the season to contemplate after all.

I’m the intern at IT Vision. I recently chose to do an internship over one of my final units at university. I was always in the internship office, kept an eager eye on the notifications for upcoming opportunities and constantly daydreamt of how I was going to be discovered to be the next Steve Jobs.

IT Vision has been operating for longer than I have been alive, they operate in more regions than I knew existed but somehow all they stand for has become so familiar in just three months. I have a great seat in the office; not quite ready to mosh pit but have a view of the whole band. As I write this, I can hear other keyboards, ‘desk meetings’ and a sweet buzz muting the renovation sounds in the background. The past three months have given me the chance to learn the ropes of backstage as well as join in on centre stage. Although I didn’t have prior knowledge on the products and services, it quickly became apparent how much wider the conversations span. I was quickly able to understand the intrinsic processes and was given the chance to apply my skills. Witnessing the success of IT Vision’s annual conference was a big highlight. In its third year, the conference catered to everyone from didgeridoo lovers to artificial intelligence enthusiasts. At times the remnants of the after party still add to the sweet buzz in the background.

2017 is another page of IT Vision’s success story spanning more than 30 years, but the ticket I was given has no expiry date with a backstage pass. Wish I thought of using if for Paul McCartney the other week.

Today marks World Teacher’s Day, which according to UNESCO, represents a significant token of the awareness, understanding and appreciation displayed for the vital contribution that teachers make to education and development.

So as I sit thinking about the meaning of life (as you do), Dolly Parton’s song, 9 to 5, springs to mind, especially the first couple of lines:

Tumble outta bed and stumble to the kitchen
Pour myself a cup of ambition

And for some reason this takes me back to being a kid, getting ready for school; I loved school and could never wait to get there. I loved learning new things and rushing home to tell my mum and dad about the new words I’d learnt or the explosive science experiment! But most of all, these words reminded me of the absolute ambition I had. At six I was definitely going to be a paediatrician (fear of blood and needles put paid to that), at 12 I was going to be prime minister (lack of tact and being too nice meant this would never happen!). But there was always a constant in my schooling; I was fortunate to have amazing teachers. I mean there were a few that were lacking but in the main they excited me and were passionate. And I guess it’s to those teachers I am thankful. For having the patience to put up with the constant questions, the late homework because I’d had a ‘creative block’, the arrogance of a teen who thought she knew it all, but still had so much to learn. Most of my teachers had the patience of saints!

But what does any of this have to do with IT Vision? World Teacher’s Day is about the vital contribution to education and development. And therein lies the link. IT Vision is committed to adding value to our customers’ businesses; at the heart of our innovation is one of our core values – supporting the communities in which we live. As a result of this commitment to driving innovation a suite of new Altus products have recently launched, with the sole purpose of supporting our customers’ business development needs – one new product is the Altus Finance Enquiry solution, which is more advanced and user friendly, allowing (particularly) those who control budget allocations to access financial information including balances and transaction history, anytime, anywhere. Are you ready for the revolution? Are you Altus ready?

This is just one example of how the ambition and innovation is driving IT Vision, and with more Altus products becoming available, we are committed to delivering innovate solutions to our customers, in the same way that teachers are committed quality education to the future generations. So on this day, take a moment to reflect on a teacher that impacted you and contributed to the person you became.

What has 310 million users? I’ll give you a clue; it’s not Facebook… Need another? 500 million* tweets are sent a year… That’s right, it’s Twitter! Twitter wasn’t the overnight success that Facebook was, it started off more slowly, and in recent times has become the go to platform for customers posting feedback on company websites – social media ensures a faster response time.

But why am I telling you this, you ask. Well today marks Local Government Twitter Day. The aim of the day is to showcase the diverse range of council services within the Twitter community and to increase awareness of the important work that local government does.

The day will be led by a coalition of every local government peak body in Australia, as well as ALGA, the national peak body. In 2017, they will again seek the participation of councils that already have a Twitter account by using a common hashtag to group Twitter feeds nationally on the day.

The 2017 Local Government Twitter Day is: Tuesday, 1 August 2017

The hashtag to be used on the day is: #yourratesatwork

In a world of blogs, updates and tweets, what benefit and differentiator does Twitter offer?

Everyone else is doing it

Maybe not the best reason, but do you want to be the business that customers can’t engage with easily…?

It’s good optics

As the saying goes, a picture paints a 1000 words. Show off your swimming pool in the summer and the unique beauty of your shire and your staff!

Fast way to get the message out

Good examples of this include the east coast residents of America learning of tremors in Washington DC before they hit. There were also the October 2013 bushfires in NSW which saw 18,300 retweets of the NSW RFS tweets.

Great networking tool

Follow your peers and companies that you would like to do business with

Lets you engage with your customers

Community events, company updates

So if you haven’t jumped on the # bandwagon, maybe have a look at #yourratesatwork and join the #revolution.

IT Vision acquires Insight Informatics flagship product, CivicView

Perth, WA: IT Vision is pleased to announce the recent acquisition of Insight Informatics flagship product, CivicView. This is a great step in the continued future of both IT Vision and CivicView, cementing two Australian businesses with solid Enterprise Resource Planning (ERP) experience and solutions together. The CivicView core modules have been fully converted to the latest web based technology and IT Vision will now take over the development of this solution.

CEO of IT Vision, Nigel Lutton, said of the acquisition: ‘IT Vision is excited about the arrangement we have come to with Insight Informatics and the opportunity it presents to work closely with a new set of customers to offer a pathway to a rewarding digital future’.

About CivicView:

CivicView was originally the product of an association and partnership with Kempsey shire council (KSC), dating back to the mid-80s and in 2010 the decision to port to a more modern environment was made. Since then, they have been transitioning the product to Microsoft’s ASP.NET as a fully web based product, which was completed this year. CivicView is the only integrated ERP, which makes it the ideal fit with IT Vision.

The alliance formed between IT Vision and CivicView will ensure a long and mutually rewarding association for customers and this is a major milestone in the progression of IT Vision’s geographical and industry diversification.

Director of CivicView, Sam Patane said ‘As a successful and reputable Australian company, IT Vision brings to the table the sales, marketing and consultative resources to be able to progress CivicView and also provide strength and advocacy through their existing client network to existing CivicView customers’.

Following on from a series of demos and visits, we were pleased to welcome a group of the key stakeholders to Perth to see how an existing customer is using the solution. It was a great opportunity for IT Vision to showcase its solution in a real-life environment, and we would like to extend our thanks to Kaye Lowes and her team at the Shire of Gingin.
