Risk Management Module - New Module - Coming Soon

IT Vision's new Risk Management system that has been developed within SynergySoft complies fully with the AS/NZ4360:2004 and AS/NZS/ISO 31000:2009 Standards. The Risk Register program within the system is used to set up a central register of Risks that have been identified within your organisation. The program allows details to be recorded against each Risk at its various stages; from the point where it is identified, then analysed, evaluated, treated and resolved, monitored and reviewed, so they can be tracked.

The system also allows supporting documents to be recorded against the Risk. Since they are linked to the Risk they can then be referred to by any officer who subsequently reviews the Risk. The Risk Register program also allows actions to be assigned to particular officers so the Risk can be dealt with. When adding actions, it's possible to record when an action was assigned to an officer, when it was expected to be completed by and if it has been completed, the date which this occurred.

By recording details in a central Risk Register it’s then possible to extract and view information about those Risks by running one or more standard Reports that are supplied with the system.

Using the Overdue Actions Report for example, it’s possible to find out which actions that needed to be carried out on a Risk have not been completed by their expected date and to also see who was responsible for completing those actions so they can be followed up. For those Risks that have been resolved, but still need to be monitored and reviewed, it's possible to set a date in the future when they should be re-assessed. A Risk Review Report is provided to report on any items that need to be reviewed by a specific date. The Report provides a snapshot, showing essential information about about the Risk including a Description of what the Risk is, the Risk's overall Rating, any actions that have been taken and any outstanding actions. You can choose between 2 output formats when generating the Report - a Summarised or Detailed view. And using the Budget Implications Report it’s possible to view for a particular year/s which Risks require budget funds to be allocated to them within that year/s so work can be carried out to mitigate/remove the Risk. All of the above Reports can be set up as Scheduled Reports so they are generated automatically (and optionally emailed to a relevant officer) at scheduled times.

Excel Integration - Report by Cost Centre

Excel integration is a highly sophisticated Management Reporting Tool that enables Councils to develop any financial reports they need through Excel without having to have a detailed understanding of SynergySoft file structures. It allows financial data to be exported whilst still retaining a link to the original data source for easy report production.

A new option called “Build Weekly Job / Cost Centre Actuals” has been added to the Build Financial Balances Form. This option is used to build actual balances on a weekly and monthly basis for all Job/Cost Centre combinations. Two new functions (Job_CC_YTD WEEK and JOB_CC_YTD_ MONTH) have been added which report job actual YTD balances by week and month.

New - IT Vision Web Forum

IT Vision has a new web forum which is now available to all IT Vision customers. This initiative was a request from the IT Vision User Group which was discussed at this year’s User Group Conference. The IT Vision User Group Executive committee is currently in the process of designing a new IT Vision User Group Website which includes a User Group forum, however as an interim measure IT Vision customers are all welcome to register and make use of the IT Vision forum. We welcome your ideas and suggestions so please feel free to post your ideas now.

Mandatory Upgrade to SynergySoft V8.1/7.2.16 - 2½ Weeks to go till EOFY

Due to legislative changes to superannuation reporting you will be required to upgrade to SynergySoft v8.1 or 7.2.16-17 before the end of this financial year. You will also be required to upgrade Universe to the lastest version. The latter makes the upgrade process a little more complicated however if you require assistance IT Vision provides an upgrade service.
